Efficiency Unleashed: Danielle Baily’s Strategies to Take Back Your Time and Transform Your Business and Life, The Kristi Jones Show Podcast

This week on the podcast, I sat down with Danielle Baily, an Efficiency and Implementation Consultant whose strategies have helped companies save millions and, more importantly, given leaders their time and peace of mind back.

If you’re constantly feeling like you’re chasing your to-do list, or if your calendar seems to be running the show, this episode is one you’ll want to bookmark. Danielle doesn’t just talk about working smarter. She gives you the tools to actually do it. She brought the real talk on how we’re spending, and sometimes wasting, our most valuable resource: our time.
Listen to the podcast here:

Danielle is one of those people who can walk into a room full of overwhelmed entrepreneurs and quietly help them get their lives back. She doesn’t believe in hustle culture for the sake of it. She believes in clarity, simplicity, and building systems that work for you, not the other way around.

What We Talked About:

  • The real time traps holding back high achievers—and what to do instead
  • Why systems matter more than hustle when it comes to scaling sustainably
  • How time blocking works in the real world, and why it’s more than just color-coding your Google Calendar
  • Process improvement and performance: how small shifts can lead to big results
  • How better time management leads to better delegation, decisions, and direction in your business

Her approach is refreshingly straightforward. She meets people where they are, helps them assess what’s working (and what’s not), and brings structure to chaos with strategies that actually stick.

Understanding the Time Traps

Danielle identified some of the common pitfalls that hinder productivity:

  • Overloading Schedules: Many professionals attempt to fill every minute of their day with tasks, leaving no room for flexibility. This often leads to burnout and decreased efficiency.
  • Ignoring Energy Levels: Scheduling demanding tasks during low-energy periods can result in subpar performance. Recognizing and aligning tasks with one’s natural energy peaks is crucial.
  • Lack of Flexibility: Rigid schedules fail to accommodate unexpected interruptions, causing stress and disruption.

Implementing Smarter Time Blocking

Danielle advocates for a more adaptable approach to time management:

  • Energy-Based Scheduling: Identify periods of high productivity and allocate complex tasks accordingly. Reserve low-energy times for routine or administrative duties.
  • Consistent Time Blocks: Establish regular time slots for recurring tasks to build habits and reduce decision fatigue.
  • Buffer Periods: Incorporate short breaks between tasks to accommodate overruns and unforeseen events.
  • Batching Similar Tasks: Group related activities to minimize context switching and enhance focus.

Building a Foundation for Sustainable Growth

Danielle’s insights underscore the importance of intentional planning:

Ownership of Time: Taking control of one’s schedule is a proactive step toward achieving long-term goals.

Process Improvement: Regularly assess and refine workflows to eliminate inefficiencies and foster growth.

She doesn’t even use a to-do list

Yes, you read that right! Danielle explained how she doesn’t do traditional to-do lists. Instead, she uses what she calls a “Success List” which is a short, focused list of the right things that truly move the needle in your life and business. Not just busy work. Not just the easiest task you can cross off first thing in the morning to feel productive. She’s all about clarity over chaos. That one shift alone got me thinking about how often we check boxes, just to feel like we’re getting somewhere… when we’re actually going in circles.

The Color-Coding and Energy Matching Trick

One thing she also shared that I loved is how she plans her day based on energy, not just time.. Most of us plan our day like we’re machines but we’re not. We’re human and human beings aren’t perfect so they shouldn’t expect a perfect day every time and that’s okay. Color-coding your day according to your energy levels can help you have more clarity and be more realistic about how you tackle your tasks. Danielle’s point is that when you respect your energy, your output gets better and your day feels less overwhelming.

When You Hit A Plateau

We’ve all experienced those moments when you feel like you’ve hit a wall. You’re doing everything “right,” but things feel slow. Quiet. Like maybe you missed a step or made the wrong turn somewhere.

Danielle calls those pauses and instead of panicking or thinking it’s all over, she encourages people to see it as part of the process because right after those pauses is often where the breakthrough happens.

When that happens, it’s important to talk to someone. A mentor, a coach, or even a friend who sees you clearly. Don’t isolate yourself when things slow down. That space might just be where you catch your breath before you leap forward.

Time Freedom is Business Growth

One of my biggest takeaways? Time freedom isn’t just a “nice to have”. It’s foundational to growing your business and leading well.

Danielle helps entrepreneurs, founders, leaders and high achievers make better decisions, delegate wisely, and build systems that actually support their long-term goals. So if you’ve been feeling behind, stretched too thin, or like you’re constantly playing catch-up, I really encourage you to listen to this episode. It’s full of simple yet game-changing strategies that’ll help you get back in the driver’s seat of your calendar and your business.

I’ll leave you with something Danielle said that really stuck with me: “Creating your ideal future starts by taking control of your time today.” And I believe that 100%.
